This document explains how Clutch Zone processes the personal data of customers, website visitors, tournament participants and persons who communicate with us.

We may process in particular the following personal data:

• identification data: first name, surname, possibly a nickname or team name;
• contact data: e-mail, phone;
• booking data: branch, date, time, type of service, the chosen gaming zone or seat;
• customer account data: account identifier, history of service use, purchased hours, packages, bonuses and vouchers;
• payment and purchase data: information necessary for recording payments, receipts, invoices and accounting documents;
• tournament and event data: registration, team, results, in-game nickname, communication regarding the tournament;
• communication data: the content of the customer’s messages, questions, complaints or requests;
• marketing data: consent to receiving commercial communications, communication preferences, responses to campaigns;
• technical data from the website: IP address, device type, browser, cookies and similar technologies according to the cookie settings.

If a camera system is used at a branch, the relevant area is marked with separate information. Camera recordings may be processed in particular for the protection of persons, property and the safety of operations.

We process personal data in particular for the following purposes:

• creating and managing a booking;
• providing Clutch Zone services;
• managing the customer account, gaming hours, packages, bonuses and vouchers;
• registration and organisation of tournaments and events;
• communication with the customer;
• handling questions, grievances and complaints;
• fulfilling accounting, tax and other legal obligations;
• protecting the rights, property and safety of the operator, customers and staff;
• improving services and the operation of the branches;
• sending commercial communications and marketing communication, where we have a legal ground or consent for it;
• analysing website traffic and marketing measurement according to the cookie settings.

We process personal data on the following legal grounds:

• performance of a contract or taking steps prior to entering into a contract;
• compliance with legal obligations, in particular in the area of accounting and taxes;
• the operator’s legitimate interest, in particular the protection of property, the safety of operations, the handling of complaints and the improvement of services;
• the customer’s consent, in particular for some marketing activities and selected cookies.

Where processing is based on consent, the customer may withdraw their consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before its withdrawal.

Personal data may be made available, only to the extent necessary, to the following categories of recipients:

• providers of the booking or customer system, for example ggLeap / ggCircuit or similar services;
• providers of IT, hosting, website administration and technical support;
• providers of payment, point-of-sale and accounting systems;
• accounting, tax and legal advisers;
• providers of e-mailing, SMS or marketing tools;
• providers of analytics and advertising tools, where these are used and where there is a legal ground for it;
• public authorities, where required by legal regulations.

We do not sell personal data to third parties.

We retain personal data only for the period necessary for the purpose for which it was obtained, or for the period laid down by legal regulations.

As a general rule:

• data related to bookings and the customer account is retained for the duration of the customer relationship and subsequently for the period necessary to protect the operator’s rights;
• accounting and tax documents are retained for the period laid down by legal regulations;
• communication data is retained for the period needed to handle the request and subsequently for the period necessary to protect the operator’s rights;
• marketing data is processed until consent is withdrawn or until it is no longer needed;
• cookies are retained according to the settings of the individual cookies and consents — see the “Cookie settings” document.

In connection with the processing of personal data, the customer has the following rights:

• the right of access to personal data;
• the right to rectification of inaccurate or incomplete data;
• the right to erasure of personal data, where the statutory conditions are met;
• the right to restriction of processing;
• the right to object to processing based on a legitimate interest;
• the right to data portability, where the processing is based on consent or a contract and is carried out by automated means;
• the right to withdraw consent;
• the right to lodge a complaint with the Office for Personal Data Protection (Úřad pro ochranu osobních údajů).

We send commercial communications only in accordance with the applicable legal regulations. The customer may unsubscribe from commercial communications at any time via the link in the e-mail or by contacting the relevant branch.
